Cost Management, Claims and Payments

Cost Management in Deep Space makes it easy to create POs, manage claims and invoices, and streamline approvals — so you stay on top of budgets without the admin headache.

The Cost Management tool helps you stay in control of your project budget, claims, invoices, and variations — all in one streamlined space. From setup to payment, everything is tracked, structured, and powered by AI for faster approvals and better visibility.

What You Can Do

  • Create and manage purchase orders directly within your project workspace

  • Receive and review claims and invoices from subcontractors in real time

  • Automate approvals using AI workflows for less admin and faster turnaround

  • Track variation claims and monitor PO completion status

  • Integrate with finance systems to align payment cycles

Example Workflow

  1. Set Up:

    • In the Workspace Manager, create a project and your home company.

    • Add a subcontractor company to work with.

  2. Assign Permissions:

    • Give project managers access to manage costs.

    • Grant subcontractors access to submit claims and invoices.

  3. Create Purchase Orders:

    • The builder creates a PO in the Cost Manager (Contractor View).

    • The subbie receives an instant email notification and logs in to view it (Subcontractor View).

  4. Submit and Approve Claims:

    • The subbie submits a claim against the PO.

    • The builder is notified, logs in, and approves the claim with a simple status change and note.

    • Subbie gets an instant approval notification and sees updated PO progress.

  5. Create and Approve Invoices:

    • The subbie creates an invoice.

    • The builder reviews it in the Cost Manager, approves it, and marks it as paid (or pending payment).

    • The subbie is notified that payment is on the way — no chasing required.

This end-to-end flow ensures transparency, accountability, and speed — turning one of the most frustrating parts of construction into one of the smoothest.
